Privacy Policy

PitBot ("we," "us," or "our") is the Discord bot, the pitbot.gg website, and the management panels used by online sim-racing leagues. PitBot is operated by Brock A Strehle (BrockDev.co), based in Nebraska, USA. This policy explains what we collect, how we use it, and the choices you have.
Information we collect
- Discord information. When PitBot is added to a server or you interact with it, we receive the Discord data needed to run the service: your user ID, username and display name, avatar, and the server (guild), channel, and role information for servers where PitBot is active. PitBot does not read your message content — it operates only through slash commands, buttons, and the web panel.
- League data. Information that league admins enter into the panel: driver gamertags and car numbers, race and stage results, standings, schedules, rules, and check-in responses.
- Account & billing. If you sign up for a PitBot subscription, we collect the Discord or Google account identifier and email address you sign in with. Payments are processed by PayPal; we do not receive or store your full card or bank details.
- League member payments. If a league enables paid memberships or entry fees, its drivers' payments are processed by Stripe. We and the league receive payment metadata — amount, currency, status, and Stripe identifiers — to record and reconcile the payment; we do not receive or store drivers' full card or bank details. Where a league connects its own Stripe account (Stripe Connect), the league is the merchant of record for those fees.
- Vote data. If you upvote PitBot on a bot-listing site (e.g. top.gg or Discord Bot List), that site sends us your Discord user ID so we can grant supporter perks for a limited time.
- Public-page analytics. On public pages (a league's landing and standings pages) we record anonymous, aggregated engagement counts — page views, unique visitors per day, and how visitors arrived (e.g. a QR code or a Discord link). No cookies are used and no personal data is stored; visitors are counted with a one-way daily hash that cannot identify anyone or track them across days, and the browser's Do-Not-Track signal is respected.
- Technical data. Standard server logs (such as IP address, timestamps, and request details) used to operate and secure the service.
How we use your information
- To provide and operate the service — posting standings, results, check-ins, schedules, and stats, and running your league.
- To create and manage your account and subscription.
- To provide support and respond to your requests.
- To maintain the security, integrity, and reliability of the service.
How we share information
We do not sell your personal information. We share data only with the service providers needed to run PitBot:
- Discord — the platform PitBot operates on.
- PayPal — payment processing for PitBot subscriptions.
- Stripe — payment processing for league-collected member fees (via Stripe Connect).
- Hosting provider — our servers (OVH), where data is stored.
We may also disclose information if required by law or to protect the rights, safety, or security of our users or the service.
Data retention
We keep your information for as long as your league or account is active and as needed to provide the service. You can request deletion of your data at any time, and we remove data we no longer need, subject to any legal obligations. Inactive free leagues are archived after an extended period of no activity and permanently deleted after a further retention window; we email the league owner before any deletion. Removing PitBot from your server stops further collection from that server.
Your choices
- Remove PitBot from your Discord server at any time.
- Request access to, or deletion of, your personal data by contacting us.
- Manage the Discord data shared with the bot through your Discord account and server settings.
Children
PitBot is not directed to children under 13, and you must meet Discord's minimum age requirement to use it.
Security
We take reasonable measures to protect your information. However, no method of transmission or storage is completely secure, and we cannot guarantee absolute security.
Changes to this policy
We may update this policy from time to time. Material changes will be reflected by the "last updated" date above.
